On 12 August 2003, The Wet Tropics Management Authority (WTMA) signed-off on a Project Charter, authorising the development of a new resources tracking system. It is envisaged that the system under development will provide a centralised vehicle, equipment and room booking system. In addition, the proposed system will provide a means for people to record their times when they will be absent from the office due to meetings, appointments, trips or other absences.
The proposed system can be developed to specifically incorporate the WTMA rules in relation to booking equipment, vehicles and rooms. In addition, all analysis, design and implementation work conducted by the development team will be undertaken without charge to the WTMA. It is envisaged that the WTMA provided resources would be limited to the provision of employee assistance from time to time in relation the analysis of requirements and the testing of system implementations. There will be no costs involved in equipment or software, as the required components are readily available at the WTMA.
The current WTMA system of managing employee movements, equipment, vehicle and room bookings is largely paper based. It requires the reception area employees to produce the various booking sheets on a daily and/or monthly basis. Employees who wish to book a vehicle or a piece(s) of equipment or a room must manually complete the requests for approval. If an employee wishes to book a room and equipment, for example, then this requires a manual duplication of work. Also, the current system for determining who is available or not available in the office, requires that employees manually complete an entry in a daily tracking sheet on their way in or out of the office.
The proposed system will provide the facilities to automate a number of these processes and thereby reduce the duplication of work. It is envisaged that the proposed system will provide a centralised vehicle, equipment and room booking system and also provide a means for people to record their times when they will be unavailable due to meetings, appointments, trips or other absences. In addition, the proposed system will provide the facilities to enable greater reporting capabilities.
The project will produce a computerised resource management system. The project
will also produce the system and user documentation as required. The project
will be developed in three implementation phases over the next 10 weeks. The
delivery of the final phase will constitute the final system.
